About the Role
The People & Workplace Coordinator is the heartbeat of our Bangalore office. Blending the traditional responsibilities of a Workplace Experience & Operations Coordinator with essential ground-level People Operations, you will be the go-to person for our team. Operating within a leased managed office environment, you will act as the primary liaison with the workspace provider while cultivating a distinct, Bark-branded employee experience. From ensuring the snack pantry is perfectly stocked to helping onboard new hires and planning our quarterly all-site socials, you will play a crucial role in shaping our local company culture.
Key Responsibilities
Workplace Experience & Operations:
Facility Liaison: Act as the primary point of contact between Bark.com and the managed office provider (e.g., WeWork, Awfis). Ensure service Level Agreements (SLAs) regarding cleaning and maintenance are met.
Office Management: Oversee day-to-day office operations, ensuring the workspace is organized, welcoming, and conducive to productivity. Manage desk allocations and seating plans.
Snack & Vendor Management: Take full ownership of procuring and providing a diverse, high-quality selection of snacks and beverages for the team. Manage vendor relationships, track inventory, and handle the monthly pantry budget.
Cab & Security Escort Service Management: Oversee day-to-day allocation and Cabs and Security Escorts for employees working in different shift hours. Also, coordinate and help process relevant invoices and attendance check and tracker maintenance.
Health & Safety: Ensure the workspace complies with basic health and safety standards, communicating any building-wide policies to the Bark.com team.
People Operations & Culture:
Employee Engagement: Lead the planning, coordination, and execution of Bark.com’s quarterly all-site socials, alongside smaller ad-hoc team-building activities, birthdays, and work anniversaries.
Onboarding & Offboarding: Assist the global HR/People team with ground-level logistics for new hires. Prepare workstations, distribute company swag, conduct office tours, and ensure a seamless day-one experience.
First-Line Support: Act as the friendly first point of contact for employee queries regarding office facilities, basic HR policies, and general day-to-day operations.
Swag & Equipment Tracking: Maintain inventory for company merchandise, welcome kits, and basic IT peripherals, distributing them as needed.
Job Specification
Experience: 2 to 3 years of proven experience in Workplace Operations, Office Management, Employee Experience, HR Administration, or a similar analogous role.
Education: Bachelor’s degree in Human Resources, Business Administration, Hospitality, or a related field (or equivalent practical experience).
Vendor Management: Demonstrated experience in negotiating with and managing local vendors (specifically for food, beverages, and event supplies).
Event Planning: Prior experience organizing corporate events, team off-sites, or company socials from conception to execution.
Technical Proficiency: Comfortable using modern workplace tools such as Google Workspace (Docs, Sheets, Calendar), Slack, HRIS systems (e.g., Hi Bob, Workday), and basic expense management software.
Managed Office Experience: Familiarity with how leased managed offices or co-working spaces operate is highly preferred.
Candidate Specification
Highly Empathetic & Approachable: You are a "people person." You have a warm, welcoming demeanor that makes employees feel comfortable approaching you with questions or concerns.
Exceptional Organizer: You possess strong project management skills and an eye for detail. You can effortlessly juggle a vendor delivery, an employee onboarding session, and a workspace query all in the same morning.
Proactive Problem Solver: You don't wait to be told what to do. If the coffee machine is broken or a new hire looks lost, you step in and resolve the issue before it becomes a complaint.
Adaptable & Resilient: You thrive in a fast-paced tech environment where priorities can shift quickly. You handle ambiguity with grace and maintain a positive attitude.
Stellar Communicator: You possess excellent verbal and written communication skills in English (and locally relevant languages). You know how to send clear, engaging company-wide updates and can assertively manage workspace providers when needed.
